We have a fantastic opportunity available for someone with extensive diary management experience, able to communicate professionally with senior internal and external stakeholders, and strong MS office skills. We are seeking someone to hit the ground running providing support to a wider team, with proven previous experience.
Business Overview
Our client regulates the conduct of 50,000 firms in the UK to ensure that our financial markets are honest, competitive and fair. They work to ensure that these markets work well for individuals, for businesses and for the economy.
Duties & Responsibilities
- Extensive diary management, remaining flexible to frequent and often short notice changes
- Booking meetings/rooms
- Onboarding new joiners and IT equipment
- Booking and organising UK travel
- Communicating internally and externally with stakeholders at all levels
- Inbox management (ensuring any urgent emails are flagged and actioned)
- Providing administrative support to a wider team
- Assisting with updating the absence spreadsheets
- Providing additional cover when required e.g., sickness, annual leave.
- Assisting with setting up department's calendars
- Acting as first point of contact for many internal queries
- Working closely with the HoD to ensure that all actions are picked up and taken forward in a timely fashion
Experience & Skills Required:
- Excellent IT skills, including sound knowledge of Word, Excel, Outlook and other similar packages, and able to get up to speed quickly with new systems
- Excellent spelling, grammar and written language skills
- Strong relationship management skills, both with internal and external stakeholders, with a professional approach
- Ability to work on your own initiative, prioritising, working under pressure and to meet tight deadlines whilst maintaining accuracy
- Ability to support other team members with change
- Ability to work with a broad range of stakeholders, including senior and/or challenging stakeholders and adapt style accordingly
- Ability to identify priority tasks for the Director by understanding how their role fits into wider FCA objectives
